1. Introduction

This document provides essential information regarding the security and privacy of data processing related to the activation of AI Features within our SaaS platform. By enabling Flowcase AI Feature(s), the Customer acknowledges and agrees to the terms described in Flowcase AI Terms. The Data Processing Agreement (DPA) executed between the Customer and Flowcase remains in effect and will apply to any processing of personal data in relation to the use of the Service, including the AI Features.

2. Scope of AI Features

The AI Features on the platform are designed to enhance user experience and functionality, including, but not limited to translation, proofreading, text reduction, content generation, and other intelligent services. These features may require the processing of certain data provided by the Customer to deliver their intended benefits. 

We may update or enhance AI Features from time to time to improve their functionality or add new AI Features to the platform. When new features become available, or existing features are significantly modified, please refer to our platform for the most up-to-date list and respective descriptions 

3. EU AI Act 

Under the EU AI Act, Flowcase is classified as a deployer. This classification is based on the definitions and obligations outlined in the regulation, which describe different roles within the lifecycle of AI systems, including providers, deployers, distributors, and others.

As a deployer, our role involves integrating an AI system within our platform to assist the users in their operations, enhancingfunctionality and efficiency. The AI system is solely provided by Amazon Bedrock, running on Amazon’s own secure infrastructure - the same infrastructure that hosts the rest of your data. Amazon Bedrock is a fully managed service that offers a choice of high-performing foundation models. We are committed to always using state-of-the-art models. Currently, we are utilizing the Large Language Model (LLM) Anthropic Claude, but due to our headless approach to foundation models, we will always be able to upgrade and switch to the best-performing foundation model while maintaining the same security standards. The AI Features are designed to enhance user experience, productivity and usability, and they are not categorized as high-risk under the applicable EU AI Act. We adhere to relevant obligations to ensure transparency, reliability, and security in their use. 

4. Security Measures 

As mentioned above, the Data Processing Agreement governs the data processing involving personal data. The same security measures instructed in this agreement apply.

Neither Flowcase, nor Amazon Bedrock use any of your data for training of fine-tuning models. User inputs are sent directly to the API for the model in AWS Bedrock, and are stored temporarily only as long as the concrete response is being processed. Immediately after the response is sent back to the user with the generated data, the data is removed from the Bedrock servers. The data sent to AWS Bedrock is isolated for each AI action. For example, the model does not remember the context from one textbox to another in the same CV.

Transparency is crucial when it comes to the use of AI in the user interface. In every instance where AI is employed, users are informed about its presence and functionality. Users must actively choose to use an AI function. We present a different view to end users triggering the AI-generated content, where we display the source data and the adjusted data with changes highlighted. This allows for human quality assurance. Data is not changed or stored until the user approves the generated content.

In line with the EU AI Act, Flowcase ensures the following obligations are met for its AI Features:

  • Transparency: Information to the user regarding the interaction with the AI system is provided.
  • Reliability and Accuracy: We regularly evaluate the performance of our AI Features to ensure accurate, consistent, and predictable outputs.
  • Accountability: Flowcase implements processes to monitor and review AI operations, ensuring they comply with ethical and legal standards. Users have the ability to provide feedback and report issues or inaccuracies, to enable monitoring of the accuracy and reliability of the AI system.
  • Data Governance: We apply robust data governance measures to minimize risks to data privacy and security during processing.
  • User Empowerment: Customers maintain control over the activation and use of AI Features. Users are allowed to override and reject AI-generated content. Users are informed to review the output for accuracy and authenticity. Data is not changed or stored until the user approves the generated content. No feature operates autonomously without user initiation.

5. Beta AI Features

The AI Features labeled as “Beta” are currently in a testing phase and are provided on an “as is” and “as available” basis. These features may contain bugs or be incomplete, which could impact functionality. They may further be changed, deprecated, or removed without prior notice. By using Beta AI Features, you acknowledge that they are experimental and may not perform as intended. Please note, however, that we cannot guarantee full reliability, and their use is at your own risk. We would like your feedback to help improve these features. For more information or to provide feedback, please contact our support team. 

The Beta AI Features are free as long as they are in the Beta period.

6. Access to the AI Features

Available AI Features will only be available to Customers who have access to the “Generative AI” module. If you are interested in this, but have not yet upgraded, please contact your Customer Success Manager, or reach out to us here. The module is available for additional fees. 

If you already have the Generative AI module, your company admin can enable specific Generative AI Features by navigating to: Account Settings > Customize Flowcase > AI Generated Content
